  • Provide maternity coverage (March- July) for the NA housing manger and which includes 12 NA summits and Orlando Symposium housing launch. From March December act as the lead housing manager for Barcelona Symposium.
  • Oversee and manage multiple hotel sub-blocks across multiple hotel properties for attendees, clients, sponsors and associates and support room blocks that are managed internally.
  • Analyze hotel room blocks to ensure the right inventory to account for growth while limiting risk
  • Manage relationship with housing vendor and hotels and drive consistent effective communications between all channels
  • Oversee time lines and contingency planning for hotel launches
  • Manage communication to attendees and internal associate around housing including maintaining travel information on event websites, effective email and internal intranet postings, FAQ/ help documents for clients and internal associates
  • Review hotel pick-ups each week for multiple events. Research overflow properties as needed
  • Assist conference attendees and associates with hotel issues
  • Escalation point for housing vendor and internal associates for all hotel questions
  • Regular forecasting for hotel commissions and attrition liability
  • Reconcile all post event hotel invoices for accuracy, code/submit to finance for payment and conduct audits
  • Travel to and carry out assigned "on-site duties on designated events (if necessary)

  • Bachelors degree with focus on events and/or marketing preferred but not required if they have appropriate/related experience
  • 5+ years of business meeting planning experience, housing/registration or hotel experience preferred
  • Proven budget management abilities
  • Project management experience.
  • Contract negotiation and supplier management/review
  • Strong Financial Management Skills
  • Fully competent in Microsoft office, especially Excel
  • Experience with the MeetingMax system, but not required
  • Strong Oral & Written Communication Skills
